Appointment Analysis Report

Overview

The Analysis Report provides comprehensive insights into appointment status changes across your organization. This report tracks all status changes for appointments where the "Booking Status" option is enabled in the Calendar Event Status configuration.

Accessing the Analysis Report

Navigation Path:

  1. Go to Appointments module
  2. Click on Reports
  3. Select Analysis Report

Report Features

1. Date Range Filter

Use the date range selector to analyze appointment status changes for specific time periods:

  • From: Select the start date for your analysis
  • To: Select the end date for your analysis
  • The report will display all status changes that occurred within this date range

2. Location Filter

Filter the report by specific locations or view data from all locations:

Location Filtering Options:

  • Select All: Quickly select all available locations to view organization-wide data
  • Clear All: Deselect all locations to start fresh with your selection
  • Individual Selection: Click on specific location checkboxes to include/exclude them from the report

3. Real-Time Data

Live Updates:

  • The report displays real-time data automatically
  • No page refresh required to see the latest information
  • Changes made to appointment statuses are reflected immediately in the report
  • This ensures you're always working with current data

4. Export Options

Export the report in your preferred format:

  • PDF: Click the red "PDF" button to download a PDF version of the report
  • Excel: Click the green "Excel" button to download an Excel spreadsheet (.xlsx) for further analysis

Understanding the Report Data

Summary Dashboard

The report displays key metrics at the top:

  1. Total Status Changes: The total number of appointment status changes in the selected period
  2. Users: Number of unique users who made status changes
  3. Statuses: Number of different appointment statuses that were changed
  4. Locations: Number of locations included in the report

Status Changes by User Table

The detailed table shows status change activity broken down by:

  • Changed By User: Lists each user who made status changes
  • Status Columns: Shows counts for each status type (e.g., Rescheduled, Scheduled)
  • Totals: Summary row showing total changes across all users

The table is organized into sections for each status type, making it easy to track:

  • Which users are making changes
  • What types of status changes are most common
  • Patterns in appointment management

Important: Connection to Booking Status

This report only tracks statuses with "Booking Status" enabled:

  • When you configure Calendar Event Statuses, you can enable or disable the "Booking Status" checkbox
  • Only statuses with "Booking Status" enabled will appear and be tracked in this Analysis Report
  • If you don't see a particular status in the report, verify that "Booking Status" is enabled for that status in:
    • Appointments → Configuration → Calendar Event Status

This selective tracking allows you to focus on the most important status changes for your business analytics.

  • Monitor how many appointments are being rescheduled vs. completed
  • Identify trends in appointment management efficiency

2. Staff Activity Analysis

  • See which staff members are handling the most appointment status changes
  • Identify training needs or workload distribution issues

3. Location Comparison

  • Compare status change patterns across different practice locations
  • Identify locations that may need additional support or resources

4. Time Period Analysis

  • Track status changes during specific periods (e.g., holiday seasons, promotional campaigns)
  • Identify patterns in appointment behavior over time

Best Practices

  1. Regular Review: Check the Analysis Report weekly or monthly to identify trends
  2. Filter Strategically: Use location filters to drill down into specific areas of concern
  3. Compare Time Periods: Run reports for different date ranges to identify seasonal patterns
  4. Export for Deep Analysis: Download Excel reports to create custom charts and perform advanced analysis
  5. Monitor Key Statuses: Ensure important statuses (like "No Show", "Cancelled", "Completed") have "Booking Status" enabled
  6. Share Insights: Export and share report findings with management and relevant teams

Troubleshooting

Status Not Appearing in Report:

  • Verify that "Booking Status" is enabled for that status in Calendar Event Status configuration
  • Ensure the date range includes when those status changes occurred
  • Check that the relevant locations are selected in the filter

No Data Showing:

  • Verify the date range is correct
  • Ensure at least one location is selected
  • Confirm that appointment status changes have been made during the selected period
  • Calendar Event Status: Configure which statuses are tracked (enable "Booking Status")
  • Status Change History: View detailed history of individual appointment status changes
  • Appointment Reports: Access other appointment-related reports and analytics

Note: The Analysis Report updates in real-time without requiring page refresh. Always ensure "Booking Status" is enabled for statuses you want to track in this report.
